1) Pack your Package
When choosing the package, it is good to consider the size and strength of the material to be used. Here is a mini-guide that will help you understand what to do and what to avoid when packing goods for shipping abroad:
What to do |
What not to do |
||
When choosing the box, go for high-quality corrugated boxes. They can be single, double, or triple wall. We recommend double or triple walls for fragile or heavy items (for over 10 kg). |
Avoid reusing boxes that may not be resistant enough for traveling. |
||
When you wrap items, wrap them individually. |
Do not leave empty gaps in the box as the contents will move during the trip and could get damaged. |
||
When sealing the package, use a sturdy and 4-5 cm wide adhesive tape, such as a nylon or vinyl tape. |
Avoid using thin tapes for domestic use, such as cellophane tape. |
||
When you label the package, make sure that all the barcodes are visible and that a copy of the label is placed inside the package in case the external one falls down. |
Do not cover any part of the label. |
For more information on how to pack specific items, make sure to visit the guide made by spedizionecomoda.com on how to properly wrap your package.
2) Measure the packed package
No matter the service you choose, the cost of shipping a parcel abroad will also vary according to its size. To make sure you pay the right amount, you need to know the exact size of the box you are shipping.
i. Measure the longest side of the box
Start by identifying the longest side of the box, then hold a ruler or stretched metric tape and see the total length from one end to the other. Round your measurement to the nearest centimeter.
- Be sure to note down the measurements you take so that you can check them easily later if needed.
- The length is usually the parcels’ largest measure.
- Please, check with the couriers for possible limitations regarding packages’ sizes.
ii. Rotate by 90 degrees to find out parcel’s width
Width is the distance from one side of the parcel to its opposite side. When measuring the width, round the measurement to the next full cm.
- You have more margin of error here than the length. Width and height measurements should not be accurate to the millimeter. Even if there is some inaccuracy, this should not affect the calculation of the final cost.
iii. Hold the measuring instrument vertically to record the height.
Measure the vertical side of the box from the bottom up or vice versa.
Round the size of the box height to the nearest centimeter, just like you did with the previous measurements.
- In most packages, height is often the smallest measure.
iv. Weigh the package on a scale to determine its actual weight
Place the package on the scale and wait until the final weight appears. Be sure to note the actual weight since you would then compare it with the volumetric weight of the package to know which is the greater of the two, which would then be the weight considered for the final cost.
The volumetric weight is calculated with the formula:
3) Request a free quote to ship worldwide.
Once you have packed the goods to be shipped with adequate packaging and noted the size and weight, you can now request a quote for shipping.
With spedizionecomoda.com, this process is intuitive and straightforward.
On the top screen of the homepage, enter the required data on your international shipment:
- City of origin,
- Country of destination,
- If you’re sending a package or a pallet,
- 4. Weight (in kg),
- Lenght (in cm),
- Width (in cm),
- Height (in cm),
- If you need to deliver one or multiple packages.
After that, click on Calculate Cost and Options, and the next screen will give the couriers available for that route, the delivery services (whether air or truck or both), and the prices.
The system will automatically choose the best option in terms of time and cost.
4) Make sure that your items can be shipped abroad.
There are also several factors that determine the types of goods that can be shipped internationally, what can be delivered, and whether a country can receive certain items or not.
You can find detailed and up-to-date information on export and import requirements for over 125 countries by referring to the individual national trade guides on export.gov.it.
Depending on the content of your international shipment and the restrictions of the country you are exporting from, you may also be required to obtain an export license to ship worldwide.
This mostly applies to companies rather than individuals.
In addition, if the value of the goods to be imported exceeds $10,000, you will need to fill out a DV1, a module that must be completed by the recipient.
Last but not least, make sure that among the items to be shipped abroad there are no prohibited ones, such as switchblades, medicines, ivory, perfumes, just to name a few.
5) Prepare important information on items to be shipped.
Before creating customs documents related to foreign shipments and then the international shipping label, make sure you have the answers to the following questions:
What is it about? A full written description of your shipment will help you correctly fill in the information needed for customs clearance. For example, “30 bolts of galvanized steel measuring 10 mm “, rather than just “hardware”, etc.
What is the intended use of the product? You will need to indicate whether the shipment includes commercial items, gifts, samples, returns and repairs, items of personal use.
In case you send a document abroad, no invoice is required.
What is the product made of, and where was it produced? What is the country of origin of the goods? This does not necessarily coincide with the country from which you ship; it is instead the country where the item was originally produced. This info is required to complete the free export declaration.
What is the shipment value? Evaluate the value of the goods you are shipping, on a unit basis. The price must be indicated in the currency of the country in which it was originally purchased and is required to complete the proforma invoice.
Do you know your Harmonized System (HS) code? Each commodity is appropriately classified according to the codes of the Harmonized Tariff System (abbreviated as HS) to meet the customs requirements of the governments of the countries of origin and those of destination.
The HS assigns six-digit codes for general categories. Countries using HS can define goods with more details than six-digit level, but all definitions must fit within that six-digit framework. You must have an HS code for every item shipped. We recommend that you also include this code in the commercial invoice.
Do you want to estimate customs duties and taxes? To do so for international shipments, customs officials use the value of the goods declared by the consignor, together with the description of the package and the country of production.
In some cases, you may select the freight forwarder, the recipient, or a third party you have designated as the person responsible for paying any duties and taxes.
Here at spedizionecomoda.com, the payment of customs duties of the worldwide delivery is on the receiver. Moreover we cannot estimate the exact cost of duties before the international shipment arrives to its country of destination.
6) Determine which documents are required by the international shipping courier.
The most commonly required international document for international shipments is the commercial invoice.
This provides information to the customs authorities and allows them to assess whether goods can move in or out of the country and what checks are needed.
In addition, the commercial invoice is essential to determine the duties and taxes due on the pallet or parcel.
On the other hand, if the goods do not have a commercial value (for example, product samples and catalogs or products not intended for sale), the commercial invoice will not be necessary as there will be no financial exchange or payment and, instead, a proforma invoice will be produced and attached to the shipping going outside the EU.
Also, for the outside EU shipments, it will be necessary to complete the Declaration of Free Export and optionally attach the Certificate of Origin and the Packing List (or the list of the goods present in the package or pallet).
This list shall provide the exporter and/or the international shipper, as well as the final consignee, information on the content, including the way in which they are packed, the size and weight of each package, and the markings and numbers shown on the outside of the boxes.
The customs documents required for each international parcel shipment differ according to the goods shipped, the origin, and the destination.
We want to point out that for each international shipment, SpedizioneComoda.com team makes available its decades of experience for any request or necessary assistance for the correct compilation of documents for international shipping.
7) Receive an international Label for your affordable shipment abroad
You will then need to create an international shipping label, also known as AWB (Air Waybill).
You can complete the international shipping label and any other required document online. In fact, all the necessary data for this was actually provided at the time of completing the online order, before the payment.
The online order process in fact required the following:
- names,
- addresses,
- phone numbers,
- for both the sender and the recipient.
And then:
- the description,
- the quantity,
- the value of the goods to be shipped,
- its weight and
- package size.
International shipping rates and transit times are calculated based on the goods you are sending, the destination, and the shipping speed you choose.
End the preparation of your international shipping by printing the label out you received by email at the time of the online order after the payment.
Place it in a transparent plastic bag together with the other documentation described above that you previously completed.
This last document will also be sent by email as a Microsoft Word file (.doc) and Acrobat Reader file (.pdf). For any doubts about the compilation of this document, you can also rely on our assistance.
Detach the adhesive at the back of the transparent bag and secure it firmly to the larger side of the box to be shipped. Alternatively, use adhesive tape to attach firmly the documents to the package.
Make sure the shipping label information is entirely visible and readable, and not covered in any way.
In case your package is too small to fit the entire label on one side, please place the label so to show the recipient’s info is on one side and the barcode on the other.
8) Wait for the courier to pick the package up or take it yourself to the nearest collection center.
In the online order procedure, you will also have chosen the pickup date of the package or pallet and the most convenient time slot for you. You will then only have to wait for the courier arrival.
Remember to print 3 copies out of the label and customs documents and keep a copy of them.
A copy will be affixed to the package; the second will be for the courier.
If you are shipping a pallet, make sure you have the proper means to handle and load it. Otherwise, you can request it from us, and we will ensure that the courier collecting your goods comes with the necessary equipment.
If you live or work near a store or one of the international parcel collection points of your chosen courier, you can simply go there and deliver the packages you have labeled and paid for online.
